OFFICE SPECIALIST

Position: Office Specialist - Fleet Operations, HR and Payroll support, and General Admin

Location: Jackson Hole, WY

Company: Heavy Civil, Infrastructure, Excavation, & Grading 

Reports To: VP Operations & Finance and Accounting Manager

 

Job Summary:

We are seeking a highly organized and proactive Office Specialist to support both Human Resources and Fleet Operations. This unique dual-role position is ideal for someone who thrives in a dynamic environment, enjoys wearing multiple hats, and is passionate about keeping people and processes running smoothly.

As the Office Specialist, you will play a key role in supporting employee onboarding, benefits administration, policy compliance, and timecard oversight. On the fleet side, you’ll oversee vehicle operations, ensure DOT and CDL compliance, and manage licensing and reporting. This position requires a detail-oriented professional with strong communication skills, a knack for logistics, and a heart for supporting both people and systems.

Key Responsibilities:

Fleet Operations

  • Fleet Management: Oversee logistics of the company’s equipment fleet tracking.

  • Regulatory Compliance: Ensure all vehicles and drivers are in compliance DOT and CDL requirements, including Drug & Alcohol policy compliance.

  • Licensing & Reporting: Manage fleet licensing, IFTA reporting, and DOT compliance oversight. 

  • Depreciation Tracking: Monitor and report equipment and depreciation costs to the accounting team.

Human Resource & General Admin Support

  • Onboarding & Offboarding: Ensure smooth transitions in and out of the company.

  • Benefits Administration: Coordinate enrollment and offboarding for healthcare, retirement, and other employee benefits.

  • Policy Management: Maintain and enforce company policies, including Company Drug & Alcohol Policy, Vehicle Use Policy, and Housing policies.

  • Timecard Oversight: Monitor employee timecards for accuracy and timely reporting to management and accounting.

  • Employee Housing: Secure and manage employee housing, including active housing inspections and adherence to housing policies.

  • Job Postings: Assist with posting open positions.

  • General Office Support: Provide administrative support and assist with day-to-day office operations.
